The Software Gap: Nothing Built for Post-flight Yet

Nearly every participant in both sessions named a different tool, and nearly all of them agreed on the same complaint: pre-flight planning software has matured quickly, but nothing on the market handles post-flight debriefing well. One director of aviation described using a flight-data tool to score every landing and approach, generating a detailed report before the crew even leaves the airport, but acknowledged that the tool was built for training analysis, not for capturing a crew’s own narrative of the flight. Others described stitching together separate systems: a scheduling platform for the data, a messaging app for real-time flags, a notes app or shared document for the trip captain’s written debrief, and a weekly team meeting to surface anything that fell through the cracks.

A director of aviation at a large flight department described logging individual flight legs in a to-do app throughout a multi-leg trip specifically because crews cannot reliably recall six legs’ worth of detail by the time they land. Smaller departments described a starker problem: with only a handful of pilots and no dedicated maintenance or scheduling staff, there is no time to run a formal debrief after every flight, so the goal becomes capturing the essentials quickly rather than doing it thoroughly. As one participant put it, a software developer ought to be listening to this conversation, since no single platform currently connects pre-flight planning, in-flight data, and post-flight documentation into one place.

Building a Blame-free Debriefing Culture

The second theme was less technical and more human: how to get pilots to actually engage in self-assessment rather than treat debriefing as a box to check. Several participants described early struggles with flight-data tools feeling punitive, turning a well-meaning safety measure into a source of anxiety when a hard landing or fast approach became something a chief pilot had to explain to leadership. One approach that came up repeatedly was self-recognition—having pilots identify their own deviations before anyone else points them out, which one participant described as protecting a colleague from being singled out among a small, close-knit crew.

Multiple participants tied debriefing culture directly to leadership. One flight department leader argued that safety compliance ultimately traces back to leadership setting the tone, since culture is what actually drives whether people take a briefing seriously. Another noted a generational shift: newer pilots are notably more willing to ask why a decision was made than pilots trained under older, more hierarchical norms, and several participants said that willingness to question decisions, respectfully, has pushed their own departments to reexamine longstanding procedures rather than defend them by habit.

Beyond the Cockpit: Debriefing the Whole Trip

The third theme was a push to widen what counts as debriefing material. Several participants pointed out that a large share of the incidents their departments actually deal with happen on the ground, not in the air: fueling errors, ground handling damage, and mishandled turnarounds at unfamiliar FBOs. One participant described a recurring problem with line crews at various airports mishandling fuel caps and hoses, and said watching fueling in person had become a personal priority after nearly witnessing a fueling error firsthand. Another described a wingtip strike that occurred while towing, and noted that ground incidents, not flight-path deviations, tend to be the more expensive insurance claims.

Participants also described debriefing customer service and maintenance issues alongside safety items, from a passenger’s laptop tripping a circuit breaker, which ultimately led to new onboard battery guidance, to a minor cabin lighting issue that seemed trivial but mattered to passenger experience. Several noted that documenting these lower-stakes observations, not just clear safety events, is what eventually reveals a trend worth acting on, whether that means a maintenance item, a change to standard procedure, or simply flagging an FBO to avoid on the next trip through that airport.

The Takeaway

Across both sessions, the shared conclusion was that debriefing is less about the format and more about consistency and follow-through: capturing observations in a usable way, creating space where pilots feel safe raising their own mistakes, and building a habit of tracing recurring issues back to an actual change in procedure. Departments large and small agreed that the tools available today only solve part of the problem, and that the harder work is cultural.
